In short: we keep as little as we can. Your renders are saved in your own folder, not on our servers. We never train AI on your work and never sell your data. What we do keep is listed below, with why and for how long.
1. Who is responsible
Fictional Pixel (Pty) Ltd (South Africa, registration number 2017/241916/07, 6 Tyrell House, Crowthorne Corner, Garlicke Drive, Ballito, KwaDukuza, KwaZulu-Natal, South Africa) is responsible for personal information in the public FP_IMAGING app.
On an enterprise edition, the firm that bought it decides who has accounts and how FP_IMAGING is used, so the firm is responsible for its people's information, and we process it on the firm's behalf and on its instructions. If you use FP_IMAGING through your employer, contact your firm's FP_IMAGING admin first.
2. What we keep, and why
| What | Why | How long |
|---|---|---|
| Account details: name, email or username, role (admin or member), a scrambled (hashed) version of your password, and when you last signed in. | To let you sign in and to let admins manage their team. | Until the account is removed. |
| Usage records for each AI job: date and time, the person, the type of job, the engine, its cost, whether it worked, and a short note (for edits, the first part of your instruction). | To track each person's credit, show admins their firm's spending, and support billing. | As long as needed for billing and legal record-keeping. |
| Your video work: video clips, audio, saved films and exported films. | Films are assembled on our server. Each person's files are kept separately and only they can open them. A copy is also saved in your own folder. | Until you delete them, or the person is removed by an admin. |
| Feedback you choose to send through Help & feedback, including anything you attach. | To fix problems and improve FP_IMAGING. | Up to 24 months. |
| Welcome tour answers: your role, team size, main software and what you want to use FP_IMAGING for, if you answer. | To understand who uses FP_IMAGING. These answers are not linked to your name or account. | Up to 24 months. |
| Settings: your firm's AI provider key (enterprise), budget and credit settings. | To run AI jobs on your firm's account. | Until changed or the edition ends. |
What we do not keep
- Your renders, edits, new views and upscales. These are saved in the folder you choose on your computer or network, and in your browser on your own device. Our server passes them to the AI model and back, but keeps no copy.
- Payment card details. Payments are handled by Paddle; we never see your card.
3. AI processing
To make a render, edit, view, upscale, clip or audio track, your input images and instructions are sent through Runware to the AI model you choose (for example from Google, Black Forest Labs, ByteDance, Kuaishou, MiniMax or OpenAI). The result is returned to you. We do not use your content to train AI models, and Runware states that it does not use API data to train models. Each model provider handles data under its own policies, and some process data outside your country, including in the United States and China. On enterprise editions, the firm's own Runware account is used, under the firm's agreement with Runware.
4. Who else handles data
| Service | What for | Where |
|---|---|---|
| Render (render.com) | Hosting the FP_IMAGING servers and their encrypted storage | Frankfurt, Germany (EU) |
| Runware, and the model provider you choose | Running AI jobs | Varies by model |
| Paddle | Payments, invoices, tax and refunds for public plans | United Kingdom and its processors |
| Google Fonts | Typefaces on our web pages (your browser requests them from Google) | Global |
We don't sell personal information, and we don't share it with anyone else except where the law requires it.
5. Cookies and browser storage
We use one essential cookie, which keeps you signed in for up to 14 days. We also use your browser's own storage on your device to keep your gallery, your settings and your permission for your save folder. We use no advertising or tracking cookies.
6. Security
- All traffic is encrypted (HTTPS). Server storage is encrypted at rest and backed up daily; backups are kept for 7 days.
- Passwords are stored only in hashed form. Each person's video files are kept apart and served only to them.
- Only a firm's admins can see or change its AI provider key, and members see only their own usage.
- Fictional Pixel has no account in a firm's enterprise edition. We access an edition only as described in section 8 of our Terms; when we restore admin access at a firm's request, every admin of that firm is shown a permanent notice.
7. Your rights
Depending on where you live (for example under South Africa's POPIA, the EU and UK GDPR, or Bahrain's Personal Data Protection Law), you can ask to see the personal information we hold about you, to correct it, to delete it, or to object to how it is used. Email us at the address below. If you use an enterprise edition, we may pass your request to your firm, which is responsible for your account. You can also complain to your data protection authority, such as South Africa's Information Regulator.
8. Children
FP_IMAGING is a professional tool and is not for anyone under 18.
9. Changes
If we change this policy, we'll update the date at the top and, for significant changes, tell account holders in advance.
